Check the native file against its claimed sender, date, editing history, and business context. A convincing page layout is only one part of the authentication question.
Home › Digital Evidence Authentication › Word Document Authentication › DOCX Authenticity: How to Tell if a Word Document Is Real
Quick Answer. To assess whether a Word document is real, preserve the native file and compare its internal evidence with independent records. Check the source email, document properties, application version, revision sessions, tracked changes, theme fonts, and template references. Compare known genuine documents from the same workflow. An inconsistency calls for explanation; no single editable property establishes authenticity or forgery.
This practical assessment is part of Word Document Authentication. It combines the artifacts covered in Word document properties with the more focused allegations examined in DOCX forgery detection. Begin by stating what the file is supposed to be, rather than asking whether it merely looks official.
| Question | Short answer |
|---|---|
| How can I quickly check whether a Word document is real? | Obtain the native attachment, preserve it, inspect its properties without saving, and compare the sender and date claim with independently collected records. Treat appearance as a screening observation. |
| Does Word metadata prove the document author? | No. Creator and last modified by fields are editable labels and may come from a template or shared profile. Attribution needs source records and corroborating activity. |
| Can AppVersion expose an impossible Word document date? | It can reveal a conflict with a claim that the file was never saved after a particular date. Later saving or conversion can also explain a newer application version. |
| What do RSID sessions add to Word authenticity checks? | They show patterns of revision save identifiers across settings and document content. They can distinguish editing patterns, but they are not dated sessions or named users. |
| Why does Aptos matter in an allegedly old Word document? | Aptos became the Office default during the 2023 to 2024 rollout. An Aptos theme in an allegedly untouched older file merits investigation of later saving or template changes. |
| Can tracked change authors authenticate a Word sender? | They identify labels recorded on revisions, not verified identities. Compare their text, dates, and revision context with genuine correspondence and account records. |
Testing the value in docProps/app.xml against the asserted software history, while accounting for later writers and shared version families.
A font declaration in the theme that can indicate a modern Office template or save workflow without proving when the text was composed.
A settings.xml compatibility entry describing intended Word compatibility behavior, not an original creation date.
The relationship destination referenced by w:attachedTemplate, potentially identifying a local, network, or remote template location.
An author attribute on tracked changes or comments that reflects a saved label and can be changed or anonymized.
Known genuine files selected from the relevant period, department, authoring environment, and document purpose.
Start with the native file, the specific claim, and its source. A screenshot cannot expose package relationships, revision markup, or complete document properties. A printout can show what someone saw, but it is not a substitute for the electronic evidence needed to test the file history.
Record who supplied the file, how it arrived, its name, size, and cryptographic hash. Keep the original unchanged. Use a working copy with macros and external retrieval disabled. Opening and saving in Word can update fields, properties, and package structures, obscuring the distinction between supplied artifacts and examination activity.
Confirm that the extension matches the container and that the package actually contains a Word main document. Read properties from docProps/core.xml and docProps/app.xml. Note author labels, created and modified values, application name, and AppVersion. Record the literal values before converting dates or interpreting them.
| Red flag in the Word file | Possible concern | Innocent explanation to test |
|---|---|---|
| Modified value precedes created value | Backdating or property editing | Clock errors, template inheritance, or conversion behavior. |
| Unexpected tracked author name | Undisclosed editing | Shared workstation profile or delegated drafting. |
| Modern Aptos theme in an old letter | Recent reconstruction | Later opening, saving, or template replacement. |
| Template points to another organization | Reused or copied letterhead | Approved consultant template or inherited master document. |
| No revision save identifier diversity | Freshly generated package | Simple drafting, another editor, or privacy processing. |
| Properties name a document library | Automated fabrication | Routine document assembly or an accessibility conversion. |
Prioritize findings that directly affect the disputed claim. A later save date matters differently for an allegedly untouched original than for an acknowledged modern copy of an older letter.
Tell us whether the dispute concerns an original letter, an unchanged attachment, a particular author, or an asserted historical date. Those claims require different comparisons and different conclusions.
Request Confidential Consultation Call (833) 292 3733Internal dates describe what the package says. Independent records can establish when particular bytes existed or were transmitted. Agreement between two editable properties is weaker than agreement between the file and a separately collected mail server record or preserved cloud version.
| Evidence source | Useful question | Important distinction |
|---|---|---|
| core.xml created and modified | What dates does the file report? | Saved property values are not an independent clock. |
| Original email attachment | Were these bytes transmitted in this message? | Collect message headers and attachment data, not only a forwarded screenshot. |
| Cloud version history | Which text appeared in an earlier stored version? | Separate server events from imported document properties. |
| Known genuine correspondence | Does the disputed document fit the actual workflow? | Use relevant comparison files rather than unrelated templates. |
| Device and backup records | When did this version appear in the examined source? | Copying can change filesystem dates without changing document bytes. |
Suppose a letter is said to have been attached to a 2018 email. Obtain that message from a reliable source and compare the extracted attachment hash with the disputed file. A match supports identity of those bytes. It does not prove that the letter was signed by its named sender or that every statement is accurate.
If the hashes differ, compare the packages and visible text. A privacy scrub, signature addition, or later save can change the bytes without changing the operative wording. Conversely, nearly identical layouts can conceal a changed account number or clause. State both the byte comparison and the content comparison.
Normalize time zones explicitly. Distinguish values with a timezone suffix from local filesystem times and dates inferred from mail displays. The metadata guide explains why editing time and revision counts should not be treated as a stopwatch or complete audit log.
These artifacts test historical fit, especially when the claim is that a file has remained untouched since a stated year. They often describe the most recent writer or inherited template, not the first composition of the text.
AppVersion in app.xml can help identify an application family. Do not translate a value such as 16.0000 directly into a unique release year. Multiple Word products share version families, other writers can populate the field, and a later save can replace an earlier value. Compare controlled samples from the proposed application and workflow when exact behavior matters.
Inspect word/theme/theme1.xml and styles rather than relying only on a font shown on screen. Aptos became the Office default through a rollout spanning 2023 to 2024. A theme naming Aptos is inconsistent with a simple claim that an otherwise ordinary file was created and never touched in 2016. It is not conclusive evidence that the letter text originated recently.
Determine whether Aptos appears in the theme, direct run formatting, or merely as an installed replacement used by the renderer. A modern machine can substitute fonts when showing an older file without changing its stored theme. Later template application can also introduce modern font settings while preserving old text.
In word/settings.xml, a w:compatSetting whose name is compatibilityMode controls compatibility behavior. For example, a value of 15 is associated with Word 2013 compatibility behavior; it does not date the document to 2013. A later file can retain older settings.
Follow w:attachedTemplate through the settings relationships. A path can identify a user profile, network location, or template name worth comparing. Do not retrieve a remote template during inspection. A path records a reference, not proof that the referenced template was available or loaded during a disputed editing event.
Compare the disputed file with documents known to come from the relevant authoring process. Useful samples share the period, department, letter type, and software environment. A current marketing template is a weak comparator for a historical legal notice.
Inspect w:rsids in settings and revision save attributes on paragraphs and runs. RSIDs can help group content by editing patterns and identify a passage with a different history. They are not chronological timestamps. One identifier does not prove one author, and numerous identifiers do not authenticate a narrative of years of drafting.
Read w:ins and w:del for tracked revisions, including author and date attributes. Determine which text was inserted or deleted and whether the final rendering hides that history. Accepted changes generally remove their active revision markup, so absence of tracked changes does not establish absence of editing.
Review styles, numbering definitions, section dimensions, header relationships, image assets, and template references. A genuine cohort may reveal consistent internal style names or a particular letterhead image. A match supports a shared template or workflow but does not establish that the organization authorized this particular communication.
Record observations in a claim matrix: asserted fact, supporting artifact, conflicting artifact, and unresolved explanation. Classify the result narrowly. A file can be consistent with a claimed workflow while authorship remains unverified. Another can demonstrably differ from an earlier attachment without evidence identifying who changed it. Those distinctions make the conclusion useful to counsel and decision makers.
Work from the claimed event outward, keeping internal properties separate from independently dated records.
We organize Word authenticity findings around the actual proposition in dispute, connecting package artifacts to source messages, comparison documents, and documented chronology. Because our examiners are subject matter experts in DOCX authenticity analysis, every conclusion is tied to a specific part, property, or revision record.

Yes. Templates, shared accounts, privacy settings, and automated workflows can supply unexpected names. Compare the labels with the actual collection and transmission history.
It may help, but an independently obtained original message is more informative. Forwarding can omit headers, replace attachments, or break the connection to the claimed original transmission.
Request earlier native versions, the original source message, and relevant historical templates. Determine whether the supplied file is acknowledged to have been opened or saved recently.
Yes. The letter date may describe the original communication while AppVersion reflects a later save. The distinction matters if someone specifically claims the file was never changed.
There is no universal count. Seek enough relevant examples to distinguish routine variation from an isolated anomaly, with attention to dates, document purpose, and authoring environment.
It means the available evidence does not resolve the specified claim. The report should identify the missing source records or comparison material that could change that assessment.
Preserve the source, identify the disputed event, and gather comparable genuine files. A useful authenticity opinion states what the evidence supports and which questions remain open. We are court qualified experts in Word document authentication and can defend those conclusions under cross examination.
