Quick Answer. Word document authentication tests whether a DOCX or DOC supports its claimed origin, date, and history. Examiners identify the actual format, inspect internal parts and editing artifacts, compare independently obtained versions, and trace delivery records. A readable page is not proof of authenticity. The strongest findings connect a specific disputed passage to a preserved source file and an external event.

Our Word authentication series explains how native document evidence fits into digital evidence authentication. Start with the allegation: an altered payment clause, a backdated letter, a false author, or a fabricated attachment. The eight guides below separate package structure, XML content, metadata, session identifiers, hidden revisions, format signatures, practical authenticity checks, and forgery analysis. Each answers a different technical question.

Native evidenceDOCX packages retain more evidence than printed pages.
Date sourcesInternal properties and delivery events require separate treatment.
Passage comparisonThe disputed words must be located in each surviving version.
Source linkageAn independently collected attachment anchors a historical comparison.

Word authentication questions to resolve first

QuestionShort answer
What does Word document authentication establish? It tests defined claims about the document: whether a clause existed in an earlier attachment, whether the file fits the claimed software workflow, or whether supplied versions differ. The report identifies the evidence supporting each conclusion rather than labeling every property as proof.
Why does Word authentication require the native file?A native DOCX contains XML, relationships, properties, images, and sometimes surviving revisions. A PDF export or screenshot contains only a representation of selected content. Native evidence permits comparisons that the rendered page cannot support, including a test of text omitted by the display settings.
Can Word document dates prove when a letter was written? No. Creation and modification properties are editable assertions. An independently collected email attachment or retained cloud version provides a stronger historical anchor. Compare its bytes and text with the disputed file before assigning a date to a particular passage.
How does Word authentication distinguish DOC from DOCX?Read the container bytes and internal structures. Ordinary DOCX uses a ZIP package. Legacy DOC uses compound binary storage. An encrypted Open XML document also uses compound storage, so the examiner inspects streams before deciding that the extension is wrong.
Does Word authentication identify the actual typist? Not from an author field alone. dc:creator and revision author labels are application supplied text. Attribution requires account, device, access, or delivery evidence that connects a person with the relevant editing event and the specific version.
What should be preserved for a Word authentication examination?Preserve the received attachment, the containing email or cloud item, prior versions, and collection details. Do not accept revisions or run cleanup on the evidence. Retain the exact original even if a later working copy is needed to render the document.

Key terms defined

WordprocessingML evidence

The Word document vocabulary that stores text, paragraphs, formatting, fields, and revision markup within Open XML parts.

DOC compound storage

The structured binary container used by legacy Word documents, examined through streams rather than ZIP entries.

Native version pair

Two preserved Word files compared at the text, property, relationship, and resource levels.

Historical attachment

The document bytes collected with a message that establishes a separate delivery context.

Package identity

The actual content types and relationships that distinguish a Word document from another ZIP archive.

Claim matrix

A report structure connecting each alleged date, author, or alteration with a defined examination and its result.

What evidence does a Word document actually preserve?

A DOCX is a set of connected resources, not a photograph of a page. The main text usually resides in word/document.xml. Settings, styles, numbering, headers, footers, media, and document properties occupy separate parts. A visible clause can depend on several of those parts. The examiner inventories the package before relying on its rendered appearance.

Choose the evidence layer that answers the allegation

Disputed claimEvidence to examineDirect test
The payment clause was unchangedMain story, tables, revisions, earlier attachmentCompare exact clause text and surrounding structure
The letter existed on a stated dateIndependent message or retained versionLocate the same content in the historical source
The named author drafted itCore properties and account or device recordsSeparate stored labels from authenticated activity
The file came directly from WordPackage serialization, application properties, comparison samplesTest consistency with the alleged workflow
The supplied file is completeRelationships, referenced resources, collection historyIdentify missing targets and omitted versions

The DOCX structure guide explains the package. The XML parts guide explains where particular content is stored. Neither layer alone supplies a verified composition date.

Which Word document claim needs testing?

Send the native file and identify the disputed words, date, or source. We scope the comparison around that claim and specify the source records needed to test it.

How do internal artifacts support a Word history?

Internal artifacts describe retained state. They are not an immutable activity log. In docProps/core.xml, dc:creator names a claimed creator and cp:revision records an application maintained revision value. In docProps/app.xml, TotalTime and AppVersion report application supplied values. These fields answer different questions and should not be collapsed into a single confidence score.

Word artifactUseful observationIncorrect inference
w:rsidRAssociates text context with a retained session identifierA hexadecimal value gives the edit date
w:ins with w:author and w:datePreserves an insertion with a stored label and dateThe label authenticates a person

Aptos or Calibri theme mappingDescribes theme font selectionThe font alone proves the composition year
Normal.dotm reference or inherited stylesSupports investigation of template influenceEvery user of that template shares an author

Use a timeline with distinct event types

Keep document properties, filesystem events, message delivery, and repository version times in separate columns. Record timezones and collection methods. A 2024 download of a 2020 attachment is a new filesystem event, not a contradiction in the attachment history. A later edit to that attachment is a different issue and requires a content comparison.

Read Word metadata analysis before treating a property value as a historical fact. Where a field conflicts with an independent record, report the conflict and test copying, conversion, template reuse, and deliberate alteration as distinct explanations.

What makes a Word authentication conclusion reproducible?

A reproducible conclusion identifies the preserved file, the exact disputed passage, the internal location examined, and the independent source used for comparison. File hashes establish which bytes were tested. Part names and XML locations establish where the observation came from. Comparison exhibits show the actual difference rather than relying on a verbal summary.

Report the strongest finding first

If an independently collected attachment contains a different bank account number, lead with that difference. State the collection source and show both values in context. A metadata anomaly is secondary to the demonstrated content change. Conversely, a suspicious looking font without a historical comparison supports a narrower finding about formatting, not a conclusion that the whole letter was fabricated.

Rendering remains important. Fields, hidden runs, tracked changes, and substituted fonts can change what a reviewer sees. Render a working copy with recorded software and display settings, then compare that output with the stored text. Preserve both the extraction and the rendered exhibit. Do not silently update fields or external links to make the page resemble a supplied printout.

  • Identify each file by hash and collection source.
  • Quote the disputed wording rather than paraphrasing the allegation.
  • Distinguish a stored author label from an authenticated account event.
  • Explain whether a content difference or only a presentation difference was found.

The authenticity checklist provides an intake sequence. The forgery guide addresses reconstruction and fabricated history. Those conclusions require an examination of the actual file, not a judgment based on how persuasive its layout appears.

A claim focused Word authentication workflow

Build the examination around the disputed event, then preserve the source evidence needed to test it.

  1. Define the contested representation. Record the exact clause, date, sender, or authorship statement being challenged. Ask which finding would confirm or contradict that representation.
  2. Collect native source versions. Obtain the received Word file, original message attachment, repository versions, and relevant backups. Document the source of each, not merely its supplied filename.
  3. Identify and preserve the container. Hash the bytes, classify ZIP or compound storage, and create verified examination copies. Keep encrypted originals even when an authorized decrypted copy is produced.
  4. Map content and retained history. Locate the disputed passage across main text, stories, revisions, and fields. Record metadata and session patterns separately from the visible wording.
  5. Compare independent event records. Match versions with message delivery and repository events. A matching hash establishes identical bytes; a differing hash requires a structured comparison.
  6. Prepare the findings exhibit. Show exact passages, artifact locations, and source links. Explain what the evidence establishes about the claim and what additional collection would resolve remaining issues.

What matters most

  • A historical copy containing the disputed words is stronger evidence than a displayed creation date.
  • The native Word file preserves content that a printed exhibit omits.
  • Author properties require account or device corroboration before personal attribution.
  • File identity and document truth are separate propositions.
  • A Word report should identify the allegation answered by each technical finding.

Common misconceptions

  • A professional Word letterhead authenticates the letter. Letterhead is ordinary editable content. Compare its source and the accompanying text with independently retained documents.
  • Word properties are a certified audit trail. They are application supplied fields. External delivery and version records provide separate historical evidence.
  • An unchanged Word hash proves the original statements were true. The hash establishes byte identity between copies. It does not validate the statements or the circumstances of creation.
  • A Word file must retain all previous wording. Ordinary saving does not preserve every prior draft. Revisions, backups, and repository versions must be examined separately.

When this applies, and when it does not

This applies when

  • Disputed contractual wording in native Word agreements
  • Backdated correspondence supplied as DOCX
  • Authorship disputes involving office documents
  • Conflicting Word versions produced in litigation

This does not apply when

  • A paper signature examination without an electronic source
  • A request to recover every draft from a single cleaned file
  • A content truth assessment based solely on document properties

Word authentication evidence and intake FAQs

Can Word authentication start with only a printed letter?

Yes, as an intake assessment, but the printout cannot expose XML or package metadata. Request the native source and the delivery record. The initial assessment should state which questions remain unavailable without that evidence.

Does Word authentication require the sender's computer?

Not for every question. Two independently preserved attachments can establish a wording difference. Device evidence becomes important when the dispute concerns who edited a file or how it reached a particular account.

Can Word authentication examine password protected files?

Yes, when authorized access is available. Preserve the encrypted original and record the decryption process. Inspect the decrypted package as a derivative exhibit rather than substituting it for the collected evidence.

Does Word authentication cover older DOC files?

Yes. Legacy DOC requires binary stream analysis instead of an Open XML extraction. The examination still separates stored content, document properties, and external historical records.

What does Word authentication do with a PDF export?

Treat it as a separate artifact. Compare its rendered content with the native source, but do not transfer the PDF's metadata dates or producer information into the Word document's composition history.

Can Word authentication prove a document was never edited?

No. The defensible finding concerns the surviving evidence and the versions examined. Identical historical copies establish stability between those copies, not a universal history of every draft.

How should a Word authentication source email be supplied?

Preserve the message in a format that retains headers and attachments, or collect it from the mailbox under a documented process. A forwarded screenshot loses much of the evidence connecting the attachment to delivery.

What belongs in a Word authentication report?

The allegation, evidence inventory, preservation details, methods, artifact locations, version comparisons, and conclusions. Include the actual disputed wording and explain any missing sources that constrain the historical assessment.

Preserve the Word version before testing its story

Keep the received file and its delivery context intact. Tell us which passage or historical claim is disputed so the examination can target the evidence that answers it. As court qualified experts in Word document forensics, we can explain those findings at deposition or trial.
