Start with the disputed cell and an independent copy. Then test whether workbook content, calculation state and delivery history support the claimed version of events.
Home › Digital Evidence Authentication › Excel Spreadsheet Authentication › XLSX Authenticity: How to Tell if a Spreadsheet Was Altered
Quick Answer. To tell whether an XLSX spreadsheet was altered, preserve its native file and compare it with independently retained versions and source records. Inspect formulas, hidden data, stored results and package properties before recalculation. Metadata inconsistencies and residual strings identify questions to investigate; a material difference tied to a reliable earlier copy provides much stronger evidence of a particular change.
This practical guide belongs to our Excel spreadsheet authentication series. It combines document property analysis with formula and cached value testing. The goal is a supported finding about a disputed entry, not a verdict based on a single unusual property.
| Question | Short answer |
|---|---|
| What is the fastest XLSX alteration check? | Compare the native file with an independently retained earlier attachment or cloud version, then trace disputed values to their source records. A visual scan alone misses formulas, concealed cells and stored results. |
| Can XLSX metadata prove a spreadsheet was backdated? | Not alone. Created and modified properties are editable. Compare them with server delivery times, version records and file contents to test the claimed chronology. |
| Does a missing XLSX calcChain prove editing? | No. Calculation chains are optional and applications can remove or rebuild them. Their absence is not an alteration detector. |
| Can XLSX shared strings reveal deleted wording? | Unreferenced shared string entries can preserve text no longer used by current cells. Trace every reference before describing an entry as residual, and do not assign it a deletion date from its presence alone. |
| Can an XLSX pivot cache disagree with visible data? | Yes. A cache can retain a prior refresh snapshot while source cells have changed. Inspect the cache definition, source range and refresh settings before treating the disagreement as concealment. |
| Can XLSX inspection identify an AI fabricated ledger? | It can expose unsupported transactions, implausible patterns and inconsistent construction. There is no universal XLSX marker that identifies AI authorship; corroboration tests whether the ledger's business claims are real. |
Attributes such as appName, lastEdited, lowestEdited and rupBuild in the workbook fileVersion element, describing application related save information rather than a reliable edit timeline.
The application version string in docProps/app.xml, useful for consistency checks but not a timestamp or proof of authorship.
An extension element that can retain an absolute directory path associated with workbook saving; it may be absent, stale or copied with a template.
The value serialized alongside a cell formula, which can differ from a later calculation under another environment.
An item in the shared string table that no current shared string cell index resolves to.
Cached source records or shared items retained for pivot analysis, potentially reflecting a different refresh state from visible source cells.
Preserve the received file before opening it. Record its acquisition source, filename, byte size and cryptographic digest. Keep email attachments and portal objects in their original context. Use a working copy for static inspection and a separate copy for interactive tests. Opening Excel can refresh links or recalculate formulas, changing the very discrepancy under examination.
Ask whether a particular amount changed after approval, whether a delivered schedule omitted transactions, or whether a workbook existed on the claimed date. Locate the actual worksheet part through its relationship rather than assuming that the first visible tab is xl/worksheets/sheet1.xml. Record the cell coordinate, stored value, formula and style reference. The XLSX structure guide explains how the displayed workbook connects to those parts.
| Quick check | What to record | Next comparison |
|---|---|---|
| Disputed balance | Sheet, cell, raw value and displayed value | Issuer statement for the same cutoff |
| Unexpected formula gap | Typed constant among comparable formulas | Approved workbook and source transaction |
| Hidden records | Sheet state, row visibility and active filters | Population included in the claimed total |
| Changed properties | Creator, modifier and property dates | Delivery and cloud version events |
| Different recipient copies | Digest and material cell differences | Original messages and attachment lineage |
Inspect formulas rather than trusting the displayed total. A number formatted as 1,000 can have an underlying fractional value. A cell displaying a blank can contain a formula returning empty text. Hidden sheets, rows and columns can affect calculations even when absent from a printed exhibit. Use the hidden spreadsheet data guide to separate visibility from removal.
Confirm balances through independently obtained bank records, not contact details supplied only inside the disputed workbook. Match account identifiers, currency, posting dates and statement periods.
Identify the contested amount, reporting period and claimed delivery date. We preserve calculation state, compare independent versions and determine which external records can resolve the disputed change.
Request Confidential Consultation Call (833) 292 3733A red flag identifies an inconsistency to test, not an intent to deceive. Separate a finding that bytes changed from a finding that a material business value changed. Routine saves can rewrite XML ordering and ZIP compression while preserving every visible cell. A proper comparison resolves workbook content rather than treating every package byte difference as a substantive alteration.
| Red flag | Innocent explanation | Resolving test |
|---|---|---|
| Different font on one payment | Pasted data or deliberate emphasis | Compare value and style with earlier versions |
| Recent application version in an old ledger | The old workbook was opened and saved recently | Locate a preserved copy predating that save |
| Formula replaced by a constant | Approved adjustment or conversion to values | Obtain approval records and trace the adjustment |
| Cache differs from worksheet | Pivot not refreshed after routine data entry | Compare refresh context and source population |
| Foreign directory path | Template reuse or another preparer's workstation | Correlate account and device evidence |
| Rows missing from a printout | Filter, print area or pagination setting | Inspect native rows and print definitions |
| Dates precede the claimed business event | Template creation date carried forward | Find the first independent version containing the entry |
A style change alone rarely answers whether a payment was invented. A changed payment value, a substituted formula and a conflicting bank record form a much more specific evidential chain. Identify which observations are independent. A workbook's displayed total and its stored cached total may derive from the same inputs, so their agreement is not two independent confirmations.
Compare workbooks by resolved sheet identities, coordinates, formulas, values and relevant settings. Include defined names and external connections when they influence the disputed amount.
Compare internal properties with an independently assembled timeline. In docProps/core.xml, inspect creator, lastModifiedBy, created and modified properties. In docProps/app.xml, record Application and AppVersion. These are mutable descriptions. A cloud upload event or preserved message provides an external time anchor that an internal property does not.
The fileVersion element in xl/workbook.xml can carry appName, lastEdited, lowestEdited and rupBuild. These attributes are not a list of editors or dated editing sessions. Compare their values with the claimed software environment and known comparison files. An application fingerprint suggesting a later save challenges an assertion of untouched bytes, not necessarily the age of the transactions.
The extension element x15ac:absPath may retain a directory in its url attribute. It can expose a local user folder or network location. Preserve the exact namespace and value, and compare it with authorized device evidence. A path alone does not identify the person at the keyboard; templates and copied files carry paths between systems.
Worksheet cells can store a formula in <f> and a cached result in <v>. Record both, plus workbook calculation settings, external references and required inputs. Recalculate only a separate copy under documented application settings. Volatile functions, missing links and calculation mode can explain a changed result. A different calculated value establishes a reproducible discrepancy, not who caused it.
The optional xl/calcChain.xml records calculation ordering information rather than a historical sequence of edits. It may be omitted or regenerated. Trace shared string cell indexes into xl/sharedStrings.xml and distinguish referenced text from unused entries. Unused text can survive some workflows but disappear during others; it is not a dependable recovery log.
Inspect pivot cache definitions and any cache record parts for source ranges, connection information and retained data. A pivot cache may preserve values absent from current cells, including older labels or transactions. Determine whether source records changed, a refresh was deferred, or the workbook uses an external connection. Compare the cache snapshot with a known version before assigning chronological significance to a disagreement.
Independent records test the workbook's claims rather than its appearance. Obtain transaction data directly from the accounting system, payment processor or bank under appropriate authority. Reconcile identifiers, amounts, dates, reversals and balances using the same cutoff and population rules. A coherent ledger can still contain invented sales. Correct arithmetic is evidence of internal consistency, not evidence that money changed hands.
Collect OneDrive or SharePoint version history with available version identifiers, event times and account information. Acquire the relevant versions themselves, not only a screenshot of the history list. Record site, library, object identity and time zone. Compare each acquired version and tie any material difference to the interval between two independently recorded states.
Preserved email copies provide another anchor. Compare sender and recipient attachments from the original messages. An earlier attachment containing one amount and a later delivered workbook containing another supports a specific difference. It does not locate the edit within that interval without further evidence. Save operations often rebuild XLSX packages rather than preserving a complete internal revision history.
AI can generate plausible rows, formulas, labels and document properties. Repetitive descriptions, artificial number distributions or generic author strings can guide review, but ordinary templates and scripted exports produce those features too. No universal XML element or numerical pattern reliably labels a workbook as AI generated. Inspect claimed transactions and request source identifiers, export records and independently retained originals.
A fabricated ledger may fail reconciliation even while every formula calculates correctly. Record unsupported invoices, impossible reference links and claimed transactions absent from the relevant source population. Explain whether absence was tested against a complete historical source or a limited current extract. Report fabrication evidence separately from any conclusion about AI involvement. The substantive issue is whether the represented events and file history are supported.
Choose a material claim, preserve its current state and compare it against independent anchors before performing interactive calculations.
We test material workbook differences against preserved versions, calculation state and independent business records. Findings identify the changed content and supported chronology while separating reproducible inconsistencies from unsupported assumptions about authorship or motive. Our analysts are subject matter experts in spreadsheet authenticity analysis, and each finding is tied to a specific part, cell, or property that another examiner can verify.

The package does not provide a dependable complete cell editing history. Correlate acquired versions with cloud activity, account access and other records, and distinguish an account from its human operator.
No. A routine save can rewrite package parts and discard residual data. Collect earlier attachments and cloud versions rather than assuming the current package contains recoverable prior states.
The inputs, referenced range or stored result may be wrong. Trace the formula dependencies, inspect hidden records and compare the underlying transactions with independent sources.
A screenshot can document an appearance but omits formulas, package parts and visibility settings. Obtain the native workbook and preserve the screenshot as a separate evidence object.
It does not supply the workbook bytes for each listed state. Acquire the relevant versions and available event context to test actual cell differences and chronology.
Yes. Formatting and coherent formulas do not authenticate business events. Verify issuer records, transaction identifiers and independently preserved sources rather than relying on an appearance of realism.
Retain the native workbook, earlier recipient copies and the relevant source records. A comparison tied to those anchors is more informative than a list of suspicious properties without a tested explanation. We are court qualified experts in Excel spreadsheet authentication and can defend those findings under cross examination.
