Digital Forensic Experts in Cloud and Email Investigations: Where the Evidence Really Lives

Most business evidence no longer sits on a hard drive. It sits in Microsoft 365 and Google Workspace audit logs that expire on a schedule nobody chose.

Last updated: September 5, 2026 · Reviewed by Elite Digital Forensics examiners

Quick answer. Digital forensic experts in cloud and email investigations analyze provider side records: sign in logs showing when and from where an account was accessed, mailbox audit records showing message access and rule creation, file activity logs showing uploads, downloads, and sharing changes, and administrative logs showing configuration changes. These records frequently prove business email compromise, unauthorized access, and data movement more clearly than any device can. Their weakness is retention, which is commonly thirty to ninety days and shorter on some license tiers.

Answer table: cloud and email evidence questions

QuestionShort answer
Can you prove who accessed a mailbox?Sign in logs record the account, time, address, and method used.
Can forwarding rules be recovered?Yes. Rule creation and modification are normally logged.
Can you tell what files were downloaded?Often yes, through cloud file activity logs.
How long are logs kept?Commonly thirty to ninety days, and less on lower license tiers.
Do you need admin access?Yes, or a documented export produced by the administrator.
Is device access required?Frequently not. Cloud records exist independently of any device.

Key terms defined

Sign in log. A provider record of authentication attempts including time, address, application, and success or failure.
Mailbox audit record. A log of mailbox operations such as message access, movement, deletion, and rule changes.
Inbox rule. A mailbox rule that files, forwards, or deletes messages automatically, commonly abused to hide fraud.
File activity log. Cloud storage records of viewing, downloading, sharing, and deletion by account.
Business email compromise. Fraud carried out through unauthorized access to a legitimate mailbox.
Retention window. The period a provider keeps a given log type before deleting it permanently.

Which cloud records matter and what they prove

Authentication records

Sign in logs show which account authenticated, when, from what address, using which application, and whether multi factor authentication was satisfied. In a compromise investigation these records normally establish the intrusion window.

Mailbox activity

Mailbox audit records show which messages were accessed, moved, or deleted, and when rules were created. Fraudulent wire schemes almost always involve a rule that hides the attacker replies from the real user, and that rule is usually recoverable.

File and sharing activity

Cloud file logs record views, downloads, sharing changes, and deletions by account. That is often the clearest available evidence of bulk data removal, particularly in departing employee matters.

Administrative changes

Administrative logs record permission grants, application consents, forwarding configuration, and audit setting changes. Attackers routinely modify these to persist and to reduce visibility, and the modifications themselves are evidence.

Retention is the whole problem

Cloud evidence is excellent while it exists and gone completely afterward. Default retention for many audit categories is thirty to ninety days, and it can be shorter depending on license tier and configuration. There is no forensic technique that recovers a deleted provider log.

That reality drives the first action in every cloud investigation: export and preserve the relevant logs immediately, then analyze them. Preservation costs very little and cannot be done retroactively.

Business email compromise investigations

These matters follow a recognizable pattern: credential theft through phishing, authentication from an unfamiliar location, creation of a hiding rule, monitoring of genuine invoice discussions, and a fraudulent payment instruction sent from the real mailbox.

The investigation establishes the access window, whether other mailboxes were reached, whether personal data was exposed alongside the fraud, and whether the attacker retained any persistence. Those answers drive the insurance claim, any notification obligation, and any recovery effort, and they are all built from logs that expire.

Preserve your cloud logs before they expire

Retention is often thirty to ninety days. Export first, investigate second.

What matters most in these cases

  • Immediate export. The single most consequential decision in a cloud investigation is how quickly logs are preserved.
  • Correct log scope. Different questions require different log categories; exporting only sign in data usually leaves the case incomplete.
  • Audit configuration. Environments with detailed auditing disabled cannot produce the records later, so this should be checked in advance.
  • Cross referencing. Cloud logs and device artifacts together produce far stronger findings than either alone.
  • Documented export method. How an export was produced matters for admissibility as much as what it contains.

Common misconceptions

The cloud provider keeps everything forever. Providers keep audit records for a limited period, commonly thirty to ninety days, and then delete them permanently.
Changing the password ends the incident. Application consents, forwarding rules, and active sessions frequently survive a password reset.
There is no evidence because there is no device. Provider side records often prove more than a device would, if they are preserved in time.
An email header settles authenticity. Headers help, but they can be forged. Provider transport and audit records are the reliable source.

When this applies and when it does not

When retaining an examiner makes sense

A cloud and email examination is appropriate for suspected account compromise, wire fraud, unauthorized mailbox access, departing employee data movement through cloud storage, contested email authenticity, and any incident where the environment is primarily cloud based.

When it is probably not necessary

It is usually unnecessary where the disputed activity happened entirely on a local device with no cloud component, or where the relevant logs have already expired beyond any provider retention.

How Elite Digital Forensics helps

We investigate Microsoft 365 and Google Workspace environments, beginning with immediate preservation of the relevant audit categories and continuing through analysis of authentication, mailbox, file, and administrative records. Reports state which log categories were available, which had already expired, and what each finding rests on.

All work is performed under a written engagement letter with a conflicts check, verified hashing, and documented chain of custody. Reports are internally reviewed before release, and our examiners have been qualified to testify in state and federal courts. Related reading: digital forensic experts in every case type.

What you receive

  • Verified forensic acquisition with recorded hash values
  • Documented chain of custody from collection through return
  • A written report with exhibits, timelines, and stated limits
  • Rebuttal analysis of an opposing expert report when needed
  • Deposition and trial testimony, in person or remote where permitted
Turnaround and rush options

Engagements normally begin within one business day of a signed engagement letter and funded retainer. Expedited scheduling is available when a hearing, production deadline, or notification clock is close, with rush terms confirmed in writing first.

Frequently asked questions

What do digital forensic experts in cloud and email investigations examine?

Provider side audit records: sign in and authentication logs, mailbox audit records including rule creation, cloud file activity logs, administrative change logs, and exported mailbox content.

How long do Microsoft 365 and Google Workspace keep audit logs?

Commonly thirty to ninety days by default, and shorter for some categories and license tiers. Once a provider deletes a log, no forensic method recovers it, so preservation has to happen early.

Can you prove a mailbox was accessed by someone else?

Usually yes. Sign in records show the time, address, and application used, and mailbox audit records show what was accessed once inside.

We had wire fraud through email. Where do you start?

With immediate log export and preservation, then determining the access window, whether a hiding rule was created, whether other mailboxes were reached, and whether personal data was exposed alongside the fraud.

Do you need our administrator involved?

Yes. Cloud investigations require administrative access or a documented export produced by the administrator, and the export method is recorded for admissibility.

Can cloud logs prove an employee downloaded files before leaving?

Frequently yes. Cloud file activity logs record downloads, shares, and deletions by account, and they often provide the clearest evidence available in these disputes.
